Regional senior care provider · Executive Leadership · Operations & Finance
Leadership at a regional senior care provider needed a clear view of staffing hours, overtime, and cost, but the data lived in three separate systems: timekeeping, accounting, and census. Pulling the report together took days of manual work, which pulled staff away from resident care. By the time it was finished, the numbers were already out of date.
We started with a discovery session to see what leadership actually needed, then chose one project: a single executive dashboard bringing staffing hours, financial totals, and census into one place. Before any build began, the scope was agreed in writing with three deliverables: hours tracking (worked time versus paid-not-worked time), expense tracking, and a census dashboard. The timeline was four to six weeks, with a review period before go-live, and the project used aggregate, facility-level data only, with no resident or employee records.
A small dedicated computer on the organization's network runs scheduled, automated data exports. The data flows to a cloud store the organization owns, and the dashboard is built on top of it. Their team reviewed the data and layout before go-live. They own the finished tool, the code, and the data, and ongoing support is optional and scoped separately.
Days of manual report building were replaced by an always-current view, and leadership now has current data and hours saved in prep for every board meeting. Overtime and spending patterns show up early, instead of after the fact. A natural-language assistant that lets leaders ask questions of their own data is planned as a future phase.
