Automating HR Workflows Without Buying New Software

Cleveland-area company · ~80 employees · HR & People Operations

The Challenge

A Cleveland-area company with about 80 employees was running a core HR process, employee 1:1 documentation, entirely on paper. Forms were filled out by hand, scanned, and manually uploaded one at a time into HR software the company already used and paid for. Nobody needed new tools; the software already had the capability. What was missing was the workflow to actually use it. HR estimated the manual handling, scanning, uploading, and chasing down late submissions, was costing the team over 20 hours a month.

The Solution

Rather than recommend new software, we rebuilt the workflow inside the system they already owned. 1:1 submissions now flow directly into a searchable database instead of scanned PDFs. The moment an employee submits their 1:1, their manager gets an automatic notification, no more manually tracking who's behind. Information is captured as structured data instead of loose handwritten notes, so it's actually usable later.

The Result

The company got back the 20-plus hours a month previously lost to manual handling, without spending a dollar on new software. Historical records became instantly searchable, turning compliance reviews and audits into a quick lookup instead of a hunt through file folders. And because the data was finally accessible, managers started actually using it instead of letting it sit unread.
